Activity Booking Information

Before booking an activity with us, please make sure you have read and understand the following information. If you have any questions or require further clarification on anything, please do not hesitate to contact us.

Informed Consent This information is provided to enable participants/parents/guardians to give informed consent to participate in adventurous activities. These activities carry an element of risk and Outfit Moray undertakes to actively manage this risk to ensure a safe, enjoyable session.
Medical Consent Your consent gives permission to the named participant receiving any medical or surgical treatment including, where necessary, the administration of a local, general or other anaesthetic.
Photo Consent Outfit Moray and its partners may use photographic or video equipment with groups. Photos may be used for training, or advertising by Outfit Moray, or its partners, in the future. Images remain the property of Outfit Moray.
Weather and Conditions Our plans may be adjusted for a variety of reasons to provide the best possible experiences. Please ensure participants are prepared for forecasted weather and ultimately all eventualities, inc waterproofs, sunscreen, sturdy footwear; and plenty of warm clothing.

If the weather is unsuitable for the planned activity, our activity guarantee ensures we a suitable alternative.

Transport Any transport provided will be by minibus or car, which will be driven by appropriately licensed and insured member of Outfit Moray staff, volunteer or associate.
Staff/Instructor Ratios All activities are coordinated by Outfit Moray staff and delivered by instructors in possession of appropriate experience, qualifications and guidance. The maximum group size per qualified instructor will be 1:8
Outfit Moray Emergency Contact Please be aware that mobile coverage in and around activity areas may be limited at times. The activity instructor will always have a communication plan.

If a message needs to be passed to a group or participant, they can be contacted via the Outfit Moray duty staff on 01343 549571 or 07733 586930 during out of hours (please note, this mobile is not monitored outwith programmes).

Safety Management The safety management of Outfit Moray is governed by robust operating procedures in accordance with AALA License and associated regulations and industry practice. Participants will be supervised either directly or remotely throughout the programme by competent staff. Activity safety plans and risk assessments (generic and specific) will be managed by competent staff who possess the necessary expertise.
Accidents or Incidents IIn the event of an accident or incident, Outfit Moray staff have the necessary resources to manage a situation and seek further assistance.  All staff possess in-date first aid qualifications and carry appropriate equipment. Outfit Moray management and parents/guardians will be notified immediately if necessary.
Ticks & Lyme Disease A tick is a small, blood-sucking mite, which are common in UK’s wooded, grassy or moorland areas. Not all ticks carry disease and removing them quickly and safely greatly reduces any risk of illness. Please check yourself/child/ward after the activity and remove any with a tick remover tool. Insurance Although we have full public liability insurance, we recommend you arrange adequate personal insurance to cover the activities, residentials or courses and thoroughly check the terms of any proposed insurance policy carefully, to ensure it meets your requirements.
Valuables and Personal Belongings Please valuables items to a minimum and be aware their security is the responsibility of the participant, as well as all other personal possessions and clothing. Any lost property will be held at Outfit Moray for a limited period of time.
Medical Information Any changes to medical conditions since booking, which may affect participation, must be communicated via info@outfitmoray.com. Medication for known or stated conditions, that may be required to be taken during the activity, must be carried with the participant (eg inhaler, antihistamines, epipen, travel sickness).
Additional Support Needs Please inform us of any additional support needs the participant has as this will allow Outfit Moray to plan appropriately for all participants.
Conduct and Behaviour The highest level of conduct and behaviour will be expected from all participants and staff during activities. Any concerns with young people may be addressed with parents and guardians directly, or via Outfit Moray management as necessary.
Food and Drink The day will be active so all participants should bring a substantial, healthy packed lunch and snacks plus enough water for the day, in a re-useable water bottle.
No Smoking Policy >Outfit Moray has a no smoking policy in all buildings and vehicles, as per Smoking, Health and Social Care (Scotland) Act 2005 and Prohibition of Smoking in Certain Premises (Scotland) Regulations 2006
Data Protection The information you supply will be used for the purpose(s) for which you have provided it. This data will be maintained in accordance with the GDPR and the Data Protection Act 2018 and will not be passed on or sold to any other organisation without your prior approval, unless there is a legal requirement to do so.
